Use One Phone Number for All Candidate Communications

Keep SMS conversations consistent by sending all texts from a single job-specific number—no matter which teammate hits send.

Overview

When multiple users text candidates on the same job, messages normally come from each user’s own Discovered-generated number. That can confuse candidates who expect one point of contact. Turning on Use one phone number for all communications assigns a single phone number to the job. From then on, every text sent from that job—by any user—appears to candidates from the same number.

How to Use One Phone Number for All Candidate Communications:

1. Open the Job

  • Go to your job posting and click the Find and Evaluate Talent tab.

2. Find the Setting

  • Scroll to Tools for Sourcing Candidates.
  • Find the card labeled Use one phone number for all communications.

3. Enable the Unified Number

  • Toggle the switch On.
  • Wait a few seconds while Discovered provisions a phone number for this job.

4. Send Texts as Usual

  • Open any candidate profile in this job and send a text from Communications.
  • Candidates will now see all texts from the same job number, regardless of which user sent them.

5. (Optional) Turn Off—With Caution

  • If you toggle the feature off, the job’s number is released.
  • Toggling it on again later assigns a new number, which can confuse candidates mid-conversation.

Why This Matters

  • Consistency: Candidates see one sender, reducing confusion.
  • Professionalism: Presents a single point of contact for the role.
  • Collaboration: Let multiple recruiters message from one shared line without exposing individual numbers.

Use Cases

  • A recruiting team co-manages a high-volume role and wants one consistent text thread.
  • A hiring manager jumps in to message candidates without changing the visible sender.
  • You want to standardize the candidate experience across shifts or time zones.

Best Practices

  • Avoid mid-search toggling. Once enabled, keep it on for the duration of the hiring cycle to prevent number changes.
  • Coordinate internally. Let your team know the job now uses a shared number for texts.
  • Start unified early. Enable before sending any SMS to keep all threads on one number from the outset.

What Happens Next

  • All SMS from this job will appear to candidates from the same, job-specific number.
  • If you disable the feature, that number is released; re-enabling later will generate a different number.
  • Internal users can see who actually sent each message inside Discovered, while candidates see one consistent sender.
