Fix Personal Email Warnings on Indeed Jobs

Spot jobs that would go to Indeed with a personal email address and switch them to a business address in a few clicks.

Overview

Starting October 31, 2026, Indeed requires a business email address on every job posting. Personal addresses on free or internet-provider domains, such as Gmail, Yahoo, Hotmail, Outlook.com, iCloud, AOL, Comcast or AT&T, don't meet the requirement. To learn more about the requirement, see Indeed Corporate Domain Email Requirement.

Discovered now checks the email address each job uses on Indeed and warns you when it's a personal one:

  • A banner on the job post page of a published job
  • A warning on the Indeed card under Post on Job Boards, and under the email field when you edit it
  • A confirmation window when you publish a job that would go to Indeed with a personal address

These are warnings only. Discovered never stops you from publishing. You can always continue with the address you have, but Indeed may not post the job, or may give it less visibility.

Note: Warnings appear only for jobs that would actually be sent to Indeed: your account uses the Indeed integration, the job description is longer than 100 characters, the job isn't hidden from your career page, and your company hasn't reached its job board limit.

Before You Start

  • Make sure you have a business email address you can use, ideally on the same domain as your company's website (for example, hiring@yourcompany.com). If you don't have one yet, see How to Set Up a Corporate Domain Email Address.
  • You need Admin or Editor permissions to change a job's Indeed email address or publish a job. Users with Viewer permissions see the banner and the card warning, but not the buttons to fix them.

How to Fix the Email on a Published Job:

1. Find the Banner

  • Open the job post. If the job is published and uses a personal address on Indeed, an orange banner at the top names the address: Indeed requires a business email address. This job uses … , a personal address, as its Indeed contact email.
  • The banner also appears on the job's Find and Evaluate Talent page.

2. Click Update Indeed Email

  • Click Update Indeed email on the banner.
  • Discovered opens Post on Job Boards with the Indeed email address window already open.

3. Enter a Business Email Address

  • Replace the address in the Email address field with your business email address.
  • While the field holds a personal address, a warning appears under it. The warning disappears when you enter a business address.

4. Save

  • Click Save.
  • Discovered sends the new address to Indeed, and the banner and the card warning disappear.

You can also open the same window yourself: go to Find and Evaluate Talent → Post on Job Boards and click Edit on the Indeed card. While a job uses a personal address, the card shows Personal email address. Indeed requires a business email: click Edit to update it.

When You Publish a Job

Discovered also checks the address before a job goes out to Indeed. If it's a personal address, a window titled Job will not be posted on Indeed without a business email opens and names the address.

Publishing a new job

A new job uses the job owner's email address on Indeed. When you click Publish and continue and the owner's address is a personal one:

  • Click Change owner to go back to the form and choose an owner who has a business email address. Nothing is created until you publish again.
  • Or click Publish anyway to publish with the personal address.

Publishing a draft from the job form

  • If you choose an owner with a business email address, Discovered uses that address on Indeed and publishes the job without asking.
  • If the owner's address is personal, the window shows it in an editable field. Enter a business address and click Publish, or click Change owner.

Changing a job's status to Published

When you change a paused or archived job to Published from the status menu on the job post page, the window shows the job's Indeed email address in a field:

  • Enter a business email address and click Publish. Discovered saves the new address and publishes the job.
  • Or leave the address as it is and click Publish.
  • Click Cancel to leave the job's status unchanged.

For a draft, the window offers Edit job post, which opens the job form so you can choose another owner, and Publish anyway.

Note: Jobs published from the dashboard widgets (for example, Paused job posts or Draft job posts) aren't checked before publishing. If one of these jobs uses a personal address, you'll see the banner the next time you open its job post page.

Good to Know

  • Saving a draft is never checked. Drafts aren't sent to Indeed.
  • Changing the job owner doesn't change the Indeed email of an existing job. Each job keeps the address it was given when it was created. To change it, use Edit on the Indeed card.
  • Paused, draft and archived jobs don't show the banner. You'll be asked about the address when you publish them.
  • Jobs posted to Indeed in other ways aren't checked. This includes jobs sent through an ATS integration or reposted automatically. Check their job post pages for the banner.

Why This Matters

Most Indeed email addresses in Discovered come from the job owner's account email, so a personal address can slip onto a job without anyone noticing. After October 31, those jobs may not be posted on Indeed or may lose visibility.

These warnings help you:

  • Find jobs that still use a personal email address on Indeed
  • Fix the address before a job goes out, instead of after
  • Keep your Indeed postings visible after enforcement begins

Use Cases

  • Small Teams: An owner who signs in with a Gmail address finds out before publishing that their jobs need a business address.
  • Recruiters: Publish a job on behalf of a hiring manager and switch the owner to someone with a business address.
  • Account Clean-Up: Open each active job and fix any that show the banner before October 31.

Best Practices

  • Update the email address on your Discovered account first, so new jobs start with a business address. See Updating Your Email Address in Discovered.
  • Make sure every user who owns jobs has their own business email address.
  • Before October 31, open each active job posted to Indeed and look for the banner.
  • Use Publish anyway only when you have no business address yet, and fix the address as soon as you do.

What Happens Next

With these warnings, you can catch personal email addresses before they cost your jobs visibility on Indeed.
