View Candidate Activity Across Job Posts

See a candidate's interviews, scorecards, applications, messages and more from every job post they're in, without leaving the profile you're working on.

Overview

When someone applies to more than one of your job posts, Discovered keeps a separate candidate profile for each job post. Until now, seeing what happened on their other applications meant opening each profile one at a time from the briefcase icon.

Now the candidate profile brings that history to you. When the person is in other job posts you have access to, the profile shows:

  • Additional sections under seven tabs (Attachments, Interview, Reference check, Scorecard, Background check, Offers and Application), listing the same kind of items from the person's other job posts
  • A Job posts: filter on the Communications tab that adds emails, texts, notes and activity from other job posts to the timeline
  • A label on every timeline entry naming the job post it belongs to

Everything from other job posts is read-only. Anything new you send or add still goes to the job post you have open.

Before You Start

  • The person must have at least one other candidate profile in your company, on a job post you have access to. The briefcase icon in the profile header shows how many other job posts they're in. See What Happens When Candidates Apply Multiple Times.
  • Discovered recognizes a person by their email address. If the same person applied with two different email addresses, their profiles aren't linked yet. See Connect Candidate Profiles.
  • Admins, Editors and Viewers all see the additional sections and the filter. If your access is limited to specific jobs, you only see the job posts assigned to you. Job posts you can't open don't appear anywhere, not even in the counts.
  • The sections appear on the full candidate profile only. The candidate preview, interview mode and the Inbox show the profile as before.

How to View a Candidate's Activity from Other Job Posts:

1. Open the Candidate's Full Profile

  • Go to the job post and click the candidate's name to open their full profile.
  • Check the briefcase icon in the header. If it shows a number, the person is in other job posts.

2. Expand an Additional Section

  • Open one of the seven tabs, for example Attachments.
  • Scroll below the tab's own content to the collapsed section, such as Additional Attachments. Hover over the info icon to see From this candidate's other job posts.
  • The grey count next to the heading shows how many items and job posts the section holds, for example 3 attachments ยท 2 job posts.
  • Click the heading to expand the section. Items are grouped under Job posting: and the job post's title, with the most recent application first.

Note: A section only appears when at least one other job post has items of that kind. If none of the person's other job posts has an offer, for example, there is no Additional Offers section.

3. Review the Items

Each section shows the items the way the tab normally does, but you can only view them, not change them:

  • Additional Attachments: Open and download files. The resume each job post uses is marked Resume.
  • Additional Interviews: One-way interviews that were sent or completed, interview guides with notes, and scheduled interviews. Use Print, Questions, Transcript and Answers to review them.
  • Additional Reference Checks: Each reference's details and status. Click Check answers to read the responses.
  • Additional Scorecards: The consolidated scorecard from each job post, with the average rating and the number of ratings behind it.
  • Additional Background Checks: The Checkr report from each job post.
  • Additional Offers: Offers from other job posts, with their status, PDF and activity.
  • Additional Applications: The application form, cover letter and screening answers the candidate submitted for each other job post, with the date they were submitted.

4. Add Other Job Posts to the Communications Timeline

  • Open the Communications tab.
  • Click Job posts: at the end of the filter row. It starts on the job post you have open.
  • Tick the other job posts you want to include, or tick All job posts.
  • Click outside the list to close it. The timeline reloads with the entries from every selected job post, in date order.
  • Each entry shows its job post's name under the time, so you always know where it came from.

Note: The Job posts: filter appears when the person is in at least two job posts you have access to. The Email, SMS and Notes filters still work together with it.

5. Send Messages and Add Notes as Usual

  • The action bar shows Job posting: and the title of the job post you have open.
  • Emails, texts, sequences, notes and assessments you send from here always go to the job post you have open, whichever job posts the timeline is showing.
  • Notes and emails from other job posts can't be edited or deleted from this profile, and reading them here doesn't mark them as read in the Inbox.

Important: The Job posts: filter changes what the timeline shows, not where new messages go. To work on a different job post, open the candidate's profile on that job post from the briefcase icon.

Moved Candidates and Past Applications

When you move a candidate to another job post, Discovered now keeps the application form and screening answers they submitted for the original job post. You'll find them under Additional Applications on the new job post's profile, marked Moved to this job post.

This applies to candidates moved from this release onward. Candidates moved earlier have no past application to show. To learn more about moving candidates, see Copy and Move Candidates to Another Job Post.

If a candidate was copied rather than moved, items that were copied along with them, such as attachments and emails, appear only once: under the job post where they first appeared. Scorecards are the exception, and show under each job post.

Company Groups

If you work in a company group view, the additional sections and the Job posts: filter include the person's job posts in every company of the group. Each group of items also shows the Company: it belongs to. To switch to your company group, see Switching Between Companies in Discovered.

What Candidates See

Nothing changes for candidates. They are never shown which other job posts your team can see.

Why This Matters

A candidate's history doesn't stop at one job post. Seeing everything in one place helps you make better decisions, faster:

  • Review past interviews, references and scorecards before you reach out again
  • Avoid sending duplicate messages when someone is in several pipelines
  • Pick up the full conversation history, whichever job post it happened on

Use Cases

  • Recruiters: Check what a returning candidate said in last quarter's one-way interview before scheduling a new one.
  • Hiring Managers: Compare a candidate's scorecards from two similar roles side by side.
  • Agencies and company groups: Follow one candidate's conversations across several client job posts from a single timeline.

Best Practices

  • Check the briefcase icon and the additional sections before contacting a candidate who's in more than one job post.
  • Confirm the Job posting: label in the action bar before you send an email or add a note.
  • Tick only the job posts you need in the Job posts: filter to keep a long timeline easy to read.

What Happens Next

  • New items on any of the person's job posts appear in the additional sections the next time you open the profile.
  • If you find two profiles that belong to the same person but aren't linked, connect them. See Connect Candidate Profiles.

With cross-job activity on the candidate profile, you can see a candidate's whole story with your company in one place.
